Title: Maintenance Administrative Assistant
Supervisor: Director of Maintenance
FLSA Status: Non-exempt
General Summary: Provides overall administrative support to the Maintenance and Housekeeping team as well as general office services

Essential Job Functions:
• Log all received service calls and work orders
• Files and retrieves documents, records, and reports
• Coordinates with multiple internal and external parties to plan meetings and maintain the partnerships of Lake Nona Golf & Country Club
• Maximizes Director of Maintenance's efficiency by routing correspondence; drafting letters and documents; collecting and analyzing information
• Manages Vendor contact information
• Responsible for Time Management system, addressing issues pertaining to Crew’s punches, and processing of payroll on a bi-weekly basis
• Maintain machinery history for the property
• Update and maintain OSHA handbooks, SDS records and service logs
• Assist Maintenance Supervisor with work order tracking
• Maintain tool and supply inventory for Maintenance and Housekeeping
• Assist Director of Maintenance with competitive pricing for all supplies used
• Check all incoming shipments for Maintenance and Housekeeping when received for accuracy
• Assist with invoice coding when needed
• Assist in the Airport Services Program transporting guest to and from the airport
• Effectively communicate with other departments and team members
• Order parts and materials as needed to support Director and Maintenance supervisor
• Maintain project records and contractor correspondence between Lake Nona and outside contractors as needed
• Assist housekeeping with administrative tasks as needed
• Perform all other duties as assigned


Requirements

Essential Qualifications:
* Must have ability to operate golf carts
* Must have a valid Florida driver's license
* Must have ability to communicate in English effectively
* 2 or more years of Administrative Assistant (or similar position) experience
* High school education or equivalent required
* Detail orientated and excellent organizational skills
* Requires ability to comprehend and interpret instructions, short correspondence and memos
* Knowledge of office equipment (fax, copier, etc.)
* Self-starter with ability to work with minimal supervision
* Microsoft Office Suite experience required. Word, Excel, PowerPoint, Outlook and Internet familiarity are essential as well as ability to learn new software
* Ability to interface with all levels of leadership, employees and external customers/vendors
* Strong written and oral communication skills

Essential Physical Requirements:
* Must be physically able to do assigned work as outlined above
* Must be physically able to sit and use the computer for hours at a time
* Must be able to lift up to 50 pounds
* Must be able to communicate effectively; Spanish knowledge is a plus
* Must be able to follow written and verbal instructions
* Must be able to work in an environment with some exposure to dusty, loud, hot, cold, wet, and sometimes smelly conditions
