A bachelor's degree from an accredited college or university and one (1) year of administrative experience; or

A master's degree from an accredited college or university can substitute for the required experience.

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

JOB DUTIES:

This position reports to the Bureau Chief and is responsible for the administrative duties and functions of the bureau as directed by the Bureau Chief or Regulatory Program Administrators. The position prepares bureau level correspondence, updates the bureau's template documents as needed and coordinates the dissemination of bureau specific records for public records requests. This position acts as liaison between the Bureau Chief and the Regulatory Program Administrators (Supervisors), supervisors in other bureaus and employees. Designs forms for the bureau for submission to the forms committee for approval and also creates and maintains mailing lists for generation of correspondence. This position performs special assignments, conducts consumer complaint research and prepares statistical reports as directed. This position also maintains current information on division policies and programs and processes routine matters within established policies. Prepares and processes checks with regard to registration and administrative fines, and prepares cash transmittal sheets for Finance and Accounting on a daily basis, or as received.

Assists Bureau Chief and the Regulatory Program Administrators (Supervisors) with telephone calls, questions and correspondence concerning consumer complaints/inquiries being handled by the bureau.

Assumes responsibility for other support staff's duties within the bureau as needed. Helps with telephonic confirmation of business information, answers phone calls, inputs complaints, inquiries, requests, travel records, leave time records, etc., for the bureau. Maintains records and files and follows up on work in process to ensure timely reply or action. Uses personal computer to timely perform revisions and accurate typing of memoranda, correspondence, reports, records, statutes, rules and other office documents from rough draft and finalized copy which are general, complex and often technical in nature. Extracts, collates and merges stored information in equipment as required. Maintains Bureau Chief's files, legal and investigation referrals, procedure manuals, etc. This position tracks the bureau's use of office supplies and orders office supplies as needed or as directed by the Bureau Chief.

Plans travel itinerary regarding speeches and engagements (i.e., letters of acceptance, telephone contacts and follow-ups, transportation and lodging arrangements).

This position assists the Bureau Chief and Regulatory Program Administrators with scheduling duties and responsibilities of the bureau's Senior Clerk staff. The position will ensure compliance with bureau procedures for complaint handling and movement of agency actions to the Capital and to the Office of the General Counsel. The position compiles information and statistics (including weekly and monthly reporting) as needed or directed. Operates computers, transcription equipment, calculators, telecommunication terminals, copiers, facsimile machine, recorders, etc. Schedules appointments and conferences with or without prior clearance. The position will also assist in the coordination of the training of bureau staff and prepare training presentations at the direction of the bureau management team.

Performs other administrative duties as needed.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of the DOCS database, Word, Outlook, Excel, scanner, calculator, copier, printer, personal computer and telephone.

Knowledge of administrative procedures and practices, of methods of data collection and ability to prepare correspondence and reports.
