Position Summary:

The Training & Development Coordinator understands that learning is something people do every day and is an important avenue for personal growth and fulfillment. Learning happens through daily experiences, formal training opportunities, and personal investment. In the workplace, learning is important for competent job performance and career growth. The coordinator brings together all the elements for co-worker learning with an enthusiasm that reinforces the value of a learning environment and supports increasing levels of professional capability. They will ensure that co-workers meet regulatory and Country Meadows requirements, attain job skill competency and stay abreast of changing work practices. They publicize training schedules, coordinate formal training, promote participation in learning opportunities, register participants, serve as a trainer within their scope of proficiency, track training completions, report compliance and, celebrate achievement

Routine Functions of the Position:

Organizing formal training:

Builds and maintains schedules for training opportunities on campus including:

  • On campus instructor-led sessions, webinars, regularly scheduled co-worker training.
  • Local or home office when it applies to co-workers on their campus.
  • Organizes self-learning processes and publicizes them. 
  • Serves as contact for all training events – coordinating with Home Office instructors as well as those from the community. This includes manager training, Validation level training and others. 
  • Plans for training events as requested by leadership team as needed or as scheduled. This may include mentor training, ambassador preparation, competency reviews, etc. 
  • Communicates training events via LMS, email, posters, personal invitation, word of mouth, etc. to co-workers to insure attendance and to confirm attendees know the details (place, time, any pre-work, etc.) When appropriate, includes communication of planned program to other campuses for their convenience and to fill class size. 
  • Registers attendees for scheduled training when indicated. Shares attendance information with course trainers to confirm minimum/maximum enrollment before the event. 
  • Organizes all the factors necessary for instructor led training—reserves dates, rooms, equipment, supplies, including connection with Dining department for food service and maintenance for room requirements. Assures that clean-up occurs post-event. 
  • Ensures that all required documentation of training attendance and completions including sign-in sheets, checklists, tests, etc. flow to appropriate point for processing and filing. 
  • Tracks course/class attendance and completion. Periodically reports to campus leadership team training completion and progress toward completion for various programs including annual training (including seven direct care topics), dementia specific training, CPR, First Aid, Validation levels, as well as others when requested. 
  • Works collaboratively with managers to see that co-workers complete required training during the training year according to campus plan. This includes annual topics (including Body Mechanics and seven topics for DCW), dementia specific, Onboarding, 12 hours total for DCW, CPR, First Aid and others as identified. 
  • Assists the DOW to plan Medication Associate training. This may include: 
  • Assisting with initial BHSL computerized training.
  • Assisting with arrangements for yearly diabetes instruction for medication associates.
  • Oversees the condition of training rooms or spaces and computer labs for eLearning so that they are conducive to learning. Maintains function of all learning technology equipment including computers utilized for eLearning, headsets, speakers, software updates, projectors, screens, etc. Coaches eTeam members to do the same.

       

Facilitating/training:

  • Facilitates Onboarding program: includes organizing the room, set up, materials prepared and presented as defined, monitoring the activities, ensuring that the instructor led topics are presented by appropriately trained staff and ensuring that each new co-worker completes all steps including job checklists. 
  • Organizes mentor program to prepare them for the role. 
  • Follows mentors progress and shares observations/concerns with manager
  • Ensures program compliance and reviews exceptions with ED
  • Ambassador training – may teach expectations to new ambassadors 
  • Maintains eTeam membership and informs new members of the role, meets with members periodically, connects members to related training. 
  • Webinars – advertises, sets up for participants, may facilitate session or appoint a participant to facilitate. 
  • Manager orientation and training: facilitates early days and provides assistance with completion of further manager training. 
  • Teaches LMS basics to office manager and other managers to general level of need. 
  • Engages resource team for topic expertise to meet specific training needs. 
  • Engages outside sources for specific training needs. This may include supplementary support service providers, e.g. wound care specialists, hospice, diabetes instructors, etc. 
  • Participates with managers and mentors to see that new co-workers develop basic job skills. 
  • Uses creative, interesting methods to enhance the experience and effectiveness of any training program.

Co-worker Development:

  • Connects with each new co-worker at least every1-2 weeks during first 90 days of their employment to confirm satisfaction or discover unmet needs. Helps to resolve problems. 
  • Builds awareness of ALL available Career Paths. 
  • Maintains current material to support Career Path for eligible co-workers making sure that the required steps are available for them to complete. 
  • Ensures completion of any required Career Path levels utilizing the defined documentation. 
  • Facilitates education to PCAs and DAs and management teams about Career Path 
  • Monitors Career Path participation and reviews results with ED.
  • Assists and follows up with scholarship recipients – facilitates the flow of documents and communication of ongoing status. 
  • Shares growth opportunities with co-workers in general and with individuals seeking to build their career with CM.

Support of the Learning Culture:

  • Collaborates with the Learning & Development team to identify training needs 
  • Observes and analyzes the value/success of training related activities and works with/shares observations with L& D team to improve all aspects of the learning function. 
  • Works in close collaboration and harmony with managers as they balance between operational and training needs. 
  • Examines processes that are not working (e.g. full documentation of Onboarding) to find the weaknesses and works with team to strengthen the process.

Work Environment:

  • Requires standing, walking, twisting, bending, pushing, kneeling, stooping, stretching and lifting. 
  • Requires normal range hearing and vision, hand-eye coordination and manual dexterity. 
  • Must be capable of operating: computers, projectors, projections screens, telephone, fax machine, copier, and other general office equipment and training related technology. 
  • Workplace includes: entire campus and off-site recruiting events.

Minimum Qualifications:

  • Associate Degree preferred but not required. College degree in health education, training, gerontology, sociology or human resources preferred. 
  • Minimum 3-5 years training experience with demonstrated success.
