JOB DESCRIPTION

The Cosmos Club, founded in 1878, is a private social club for men and women distinguished in science, literature and the arts or public service. Members come from virtually every profession that has anything to do with scholarship, creative genius or intellectual distinction.

Summary/Objective

The Night Auditor is responsible for overseeing the evening audit, printing registration cards, posting, balancing, closing the previous business day, completing daily financial reports and distributing necessary daily reports as required. They should assist members and guests in all front office-related areas in an efficient, courteous and professional manner that maintains Cosmos Club’s high standards of service and hospitality during the overnight hours. They are required to receive and direct incoming telephone calls, take overnight reservations including any special requests, handle cash transactions, and assist members and guests from check-in to check-out. They are also responsible for the security of guests and must be knowledgeable of evacuation and safety procedures.

Essential Functions:

  • Prepares various daily activity reports for previous day including:
    • Telephone charge reports
  • Logs and reconciles all charges from previous day
  • Prints statements for departing guests and prints registration cards for arriving guests
  • Patrols club facilities and property to ensure safety of members, guests and employees
  • Responds to emergency, fire alarms and break-in alarms
  • Administers CPR and first aid, if necessary
  • Patrols parking lots; prevents unauthorized vehicles and people from using parking lots
  • Notes any deficiencies in club’s security measures
  • Maintains accurate log of all security staff activities
  • Conducts intermittent inspections of the clubhouse, grounds and all other club facilities and areas
  • Assures that all internal and external doors are locked according to club’s policies
  • Is familiar with emergency “911” notification procedures
  • Greets all members and guests that come to the front desk professionally
  • Accepts and records overnight room reservations
  • Registers members and guests and assigns rooms
    • Complies with special requests whenever possible
  • Provides information regarding availability and rates for members and guests
  • Understands and monitors room status information
  • Knows room locations, types of rooms available and room rates
  • Assists in pre-registration and “blocking” of rooms for registration purposes
  • Coordinates room status updates by notifying housekeeping of all check-outs, late check-outs, early check-ins and special requests
  • Coordinates guestroom maintenance work with the engineering and maintenance departments
  • Manages room key system
  • Uses suggestive selling techniques to sell rooms and to promote other services of the Club
  • Processes member and guest check-outs
  • Thoroughly understands and follows proper credit, cash-checking and cash-handling policies and procedures
  • Posts and files all charges to members’ and other accounts
  • Receives and responds to front desk emails
  • Operates front-office equipment
  • Records and files away all letters of introduction from Reciprocal Clubs
  • Monitors all Club security cameras to insure safety of all members, guests, and Club property
  • Follows procedures for issuing and closing safe deposit boxes used by members and guests
  • Operates and monitors a cash bank for monetary services available for members, guests and Club expenses (petty cash)
  • Uses proper telephone etiquette
  • Processes mail, packages and messages when needed
  • Reads the Bulletin and knows of daily activities and meetings taking place in the Club
  • Attends department meetings
  • Reports unusual occurrences or requests to the Front Desk Manager
  • Knows all safety and emergency procedures and accident prevention policies and procedures
  • Maintains the cleanliness and neatness of the front-desk area
  • Completes daily checklist of all opening and closing shift duties
  • Performs other appropriate tasks assigned by the Front Desk Manager and Assistant Front Desk Manager as needed

Education and Experience:

  • Minimum 2 years of experience at a hotel, club or similar establishment preferred
  • Ability to read and speak English is required
  • CPR/AED and First Aid Certification preferred
  • Articulate phone manners
  • Exceptional communication and writing/editing skills
  • Excellent attention to details and follow through
  • Outstanding ability to work effectively in teams of diverse people and organizations
  • Strong organizational, multi-tasking, communications, computer and problem-solving skills
  • Highly self-motivated and directed

  • While performing the duties of this job, the employee is regularly required to walk, talk and hear. The employee frequently is required to stand for long periods of time, walk, use hands to finger, handle or feel and reach with hands and arms.
  • Must be able to lift, carry, push and pull up to 50 lbs routinely with or without reasonable accommodation.
