Cashier/Switchboard Operator

Operate a Cisco IP Phone.

Answers all incoming telephone calls and directs them to the proper extensions.

Uses independent judgment to provide information to incoming callers regarding appropriate telephone numbers, office and clinic hours, locations of other Health Department facilities and other outside agency resources and telephone numbers.

Use Outlook "While You Were Out" messaging to forward call back messages to the appropriate staff and monitors the call back responses to insure follow up. Makes announcements over the public address system as needed.

Trains new and alternate telephone operators in the use of the switchboard equipment, teaching procedures and proper telephone etiquette when placing and receiving calls.

The primary functions of the cashier are to accept payments to Pinellas County Health Department for billing, provide the initial data entry to process billing in the Health Management System (HMS) for all clinics on site.

This position handles sensitive client medical and financial information. Requirements include verifying data from source documents for accuracy and completion by knowledge of program components, procedure and diagnosis codes, badge numbers and payer information. The cashier is to perform client checkouts, receive payments and provide receipts, reconcile the cash drawer and prepare the daily bank deposit in accordance with all documented procedures and policies.

Resolve routine billing errors and omissions with clinic staff; forms are returned to the clinics for correction.

Organizes and maintains client billing records according to eligibility and status, processes client refunds, processes Billing Reconciliation Reports, retrieves client insurance eligibility information in the Florida Medicaid Management Information System (FMMIS). Answers routine billing questions from clients and staff.

Responds to Release of Information in-house requests, Inputs data as required into the ACTS database

Scans and imports to HMS all documents according to established naming conventions, monitor own work to ensure that documents have been accurately scanned and imported. Writes Progress Notes in HMS as needed to identify record errors/deletions to imported documents. Completes all mandatory trainings within specified time frames. Completes/reviews EARS on a daily basis; Completes and submits all timesheets as required. Provides daily backup to Admitting as needed.

Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural. Confidentiality: Incumbent may have access to records containing social security numbers in the performance of their job duties.

Minimum Qualifications:

At least 1 year experience working in a medical office setting

At least 2 years of computer experience

At least 2 years' experience working in a fast paced customer service position

At least 1 year experience working as a cashier.

Other Desirable Qualifications

Bilingual in Spanish and English.
