Job Description
Laboratory Corporation of America Holdings, is seeking a Project Specialist to support SVP-Level Directors in our Information Technology Business Office. The ideal candidate will be a highly motivated self-starter with experience supporting one or more executive level staff members in a corporate environment.
Job Duties
Schedule Meetings
* Maintains DR's Calendar
* Schedules & Coordinates meetings, including arranging equipment, meals, travel, transportation, etc.
* Types up agenda's (travel and meeting)
* Sets up conference calls, Video Conferencing and WEBEX
Travel Expenses and Arrangements (including conference and training request)
* Makes business travel arrangements.
Invoices
* Codes GL acct/ Operation unit & Department.
* Obtains approvals.
* Researches A/P system for payment, if needed.
Organizational Charts/Seating Charts:
* Maintains Organizational Charts and Seating Charts on a monthly basis.
Expense Reports
* Enters Expenses into PeopleSoft for SVP
* Researches in PeopleSoft for payment as needed.
Mail
* Retrieval and Distribution.
Conference Room Scheduling
* Schedules conference rooms for meetings.
Supplies
* Orders supplies/Equipment as needed via PeopleSoft for department.
* Receives new orders in Peoplesoft to release for payment.
Contractors
* Maintains paperwork for on boarding and terminations of contractors.
* Updates Contractor Report with on boarding, extensions and terms.
HR Paperwork
* Requisition paperwork, change memos, and termination paper work for employees. Point of contact for department for paper work and ensuring HR receives complete and accurate forms.
* Coordinate candidate's interview schedules for SVP and key management in department.
Support to other Direct Reports/Back-up if Project Specialist is offsite
* As needed
* Other Duties or Projects as assigned.
RMA
* Updates Inventory system in Peoplesoft for broken, unused equipment for the department and physically removes and delivers to designate site for equipment pick up.
Inventory
* Performs inventory on department's equipment on annual basis.
Budget
* Assist with annual budget planning
Team Meetings
* Attends SVP's team meetings, captures action items and follow-up
Misc.
* Attends bi weekly IT Admin. Meeting.
* Misc. Projects assigned by SVP or other key mgmt.
* Misc. Projects assigned for Admin. Group.
* Back-up for IT Admins when out of the office.
Requirements
Required Job Skills
* Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
* Excellent calendar management skills, including the coordination of complex executive meetings.
* Experience assisting management with the creation of PowerPoint presentations.
* Strong knowledge of MS Office, including Word, Excel, PowerPoint, Visio and Outlook.
* Experience scheduling travel arrangements for management
* 2-5 years' experience supporting at the executive level
