About this job

This is a temporary internship position not to exceed 6 months. Undergraduate level internship work may include less involved research projects and documentation; phone communication, meeting minute transcriptions; Power Point production; social media maintenance; document and template updates; marketing material production; website updates.

Essential Functions:

Review/scan copies of checks received by month and save them into monthly folders, years 2014, 2015, and 2016 for Center for Health Research (CHR) Accountant for use in research throughout the year, as well as for 2016 CHR financial audit.

Do FINAL gift card audits of research projects that have completed or are done ordering cards, but haven't submitted their final gift card log to CHR Accountant. Follow-up with the project managers as necessary, then complete the FINAL audit.

Verify the accuracy of proposal amounts in the Proposal Database and extract co-investigator FTE from proposal budgets submitted to-date. This will involve opening every CHR-submitted proposal budget for 2016, comparing the total amount to the amount entered in the Proposal Database, and entering co-investigator FTE into a MS Access form. The data will be used in January in preparation of the IIAIP bonus calculation. This will expedite the preparation of the IIAIP report, and will also correct any potential errors in the Proposal Database prior to the publication of the year-end proposal amount, resulting in better accuracy.

Update Natural Chart of Accounts and Invoice Tracking spreadsheets to add needed KFRI # fields for CHR Accountant.

Review and verify 2016 Monthly Mail Deposit data from region for CHR accountant, and add a needed column showing payer of check for use on CHR's contribution to KP's annual 990 form.

Reviewing and moving old project files ('yellow folders') from the filing cabinet containing active and recent projects into archive storage. This will free up space in the active project filing cabinets and eliminate clutter.

Moving very old project files from archival storage on-site at CHR to off-site storage (actual moving is done by Iron Mountain).

Intern will attend departmental meetings

Intern will receive training from and work side by side with 6 CHR Finance employees: Finance & Business Services Manager, Financial Analyst III, Financial Analyst III, Accountant/Analyst Sr, Accountant/Analyst Sr, and Timekeeper/Financial Analyst I.

Enter study budgets by visit into MERGE clinic budgeting system. The visits are in the system, CHR accountant is behind on entering all of the corresponding budget amounts by visit.
