Responsibilities*

BASIC FUNCTION AND RESPONSIBILITY

The University of Michigan School of Nursing (UMSN) is seeking an Admissions Officer Associate who will report to the Manager of Recruiting and Admissions. S/he will assist in the recruitment and evaluation of candidates for admission, primarily by collecting, reviewing and assessing applications and related documents for compliance with eligibility for admission. S/he will record and monitor required data in an integrated student database, and manage, expedite and maintain files, records and other documents to ensure accurate progression of completed files throughout the admission process by established deadlines. S/he will resolve routine application processing problems, and coordinate the resolution and/or referral of specific policy-related and procedural queries and problems.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

Application Processing

* Responds to inquiries and investigates/resolves problems related to application processing; serves as a liaison with IT staff and other staff in the resolution of day-to-day administrative and operational problems.

* Assists in the evaluation of candidates for admission by reviewing, verifying, and assessing applications and support documents using online application systems (e.g. NursingCAS) in accordance with established guidelines; follows-up on missing or deficient information; relays and discusses status of applications; initiates, codes, reviews and processes applications using different media such as data entry in M-Pathways Student Administration System, filing, and document imaging.

* Reviews and analyzes college and university transcripts and makes determinations regarding the methodology to be used to enter the appropriate information into the student records database; reviews electronic applications and information for accuracy and completeness prior to loading into the database.

* Creates and maintains manual and computerized records; ensures that all records are complete, accurate and up-to-date; performs data entry and maintains various computer databases.

* Assists incoming international students with processing student visas.

Administrative Support

* Advises parents and applicants about the application process by preparing timely, thorough and professional responses to email inquiries relative to admissions policies and procedures; assembles, processes and mails correspondence as necessary; sorts, screens, reviews and distributes incoming and outgoing mail related to admissions.

* Create/edit all student and prospect records in student database systems for prospects and applicants, ensuring complete and accurate biographical and mailing data in each student record.

* Assists with assigning application evaluations in NursingCAS

* Participates in the development and recommendation of operating policy and procedural improvements; participates in the analysis of system and technology changes and upgrades.

* Assists with welcoming and checking-in attendees for on-campus admissions events.

* Helps create and update presentations, manages event registrations, and prepares program materials for on-campus admissions events.

* Performs other job-related duties as assigned by supervisor.

Reporting

* Uses Business Objects and MPathways to query data from the University of Michigan databases to perform routine analysis and calculations.

* Provides reports and statistics on current and historical admissions trends.

* Compiles results of various survey data (e.g. Qualtrics, NursingCAS, Google Docs) of applicants, students, and faculty.

* Benchmark and monitor the websites and communications of peer schools.

* Creates other ad hoc reports as needed in support of school leadership.

Required Qualifications*

NECESSARY QUALIFICATIONS

Education and Experience:

* A Bachelor's degree is required.

* Three (3) or more years of experience that is directly related to the duties and responsibilities specified.

* Knowledge of records maintenance and data entry skills is required.

* Strong oral and written communication skills as well as organizational skills; the ability to write clearly and concisely for various mediums.

* Demonstrated proficiency at the expert level with Microsoft Office products (Word, Outlook and PowerPoint), and especially considerable expertise in Excel including the ability to analyze data in Excel is required.

* Demonstrated excellent organizational and interpersonal skills are required as well as exceptional attention to detail and follow through on assignments.

* Familiarity with a variety of admissions concepts, practices, and procedures.

* Ability to perform complex tasks, to work independently to organize work load, to be accountable for high quality work, and to meet all established deadlines.

* Ability to complete moderately complex administrative paperwork.

* Ability to plan and execute duties with attention to detail.

* Skill in gathering data, compiling information, and preparing reports.

* Experience working in PeopleSoft/M-Pathways Student Administration System is preferred.

* Ability to set priorities, handle multiple assignments and deadlines and display excellent judgment while operating in a flexible and professional manner; strong ability to multitask while remaining focused is essential.

* Demonstrated excellent problem solving; analytical and critical thinking skills.

* Ability to work independently with minimal supervision and maximum collaboration in a team environment.

* Must have the ability to communicate effectively with internal and external stakeholders at all levels while operating in a fast-paced service environment.

* Must reliably manage responsibilities and manage time effectively.

* Proven ability to maintain the strictest level of confidentiality and use excellent judgment on a variety of sensitive subjects.

* A high degree of initiative, resourcefulness, and the ability to anticipate needs.

Work Schedule

Shift/Hours/Days: 8:00 a.m. -- 5:00 p.m., Monday through Friday; some occasional weekend and/or evening hours may be required.

SUPERVISION RECEIVED

Supervision is received from the Manager of Recruiting and Admissions.

Salary Range: The target salary range for this position is $36,000-$39,000 per year. The actual salary determined will be based on qualifications and experience of the selected candidate. We encourage all interested parties to apply.
