Job Summary The University of Michigan Health System has an opening for an Administrative Specialist Sr. in the Office for Health Equity and Inclusion. OHEI is responsible for promoting health equity in the medical school and health system. The department works closely with underrepresented medical students, faculty and staff. OHEI serves as a resource to the health system and medical school and leads the charge for diversity equity and inclusion across the medical campus. www.med.umich.edu/ohei

The Administrative Specialist Sr. will report directly to the Administrative Director of the Office for Health Equity and Inclusion. The selected candidate will partner with the Administrative Director to plan and manage all office operations. This individual will contribute to the office's overall strategy and accomplishment of its strategic objectives, and take on operational responsibility as needed. The ideal candidate will possess strong organizational skills; possess business savvy, technical understanding, strategic thinking and leadership ability. They will also have demonstrated commitment to promoting diversity, equity and inclusion.

Responsibilities*

Provide administrative support to Administrative Director.

Calendaring, project management, communications and correspondence

Ensure appropriate internal controls are established and processes followed appropriately.

Monitor areas of concern and implement/revise policies and practices to ensure that activities / transactions are in compliance with governing rules and regulations.

Update Director regarding unit finances, reports and other business activities.

Other Administrative responsibilities:

Act as Department Concur Liaison, process honorariums, and process non-Concur reimbursements

MPathways, Business Objects

Work closely with the HR Business Partner and liaison assigned to OHEI

Manage the human resources functions for the office. Review and approve staffing plans and transactions, such as definitions of duties, reporting relationships, selection and assignment of staff, performance evaluations, salary increases and reclassifications.

Serve as the liaison for faculty and staff regarding internal processing functions. This includes, but is not limited to, PAR transactions, completion of I-9 forms, temporary appointment paperwork and payroll/timekeeping functions.

Resolve complaints and grievances.

Supervise administrative, financial and support staff within OHEI.

Manage the orientation of new staff, temporary employees, including requests for building access, ID's, creating unique names, password requests, Department general orientation.

Manage the termination of temporary employees and all regular staff (returning ID cards, notifying personnel of the termination for processing the termination)

Maintaining the Department Directory; updating the group emails;

Track and report on effort reports including processing as needed effort certification of terminating employees

Coordinate with Medical School HR services for FMLA, reclassification, tuition refund requests, extended sick leave

Required Qualifications* Bachelor's degree with 5-7 years of recent responsible experience in administrative support, and human resources. Ability to work effectively and diplomatically with faculty, staff and students under a variety of circumstances and in a professional manner. Ability to work independently, and as part of a team. Considerable and progressive administrative, operational, as well as supervisory experience is necessary. Excellent interpersonal skills with a strong customer focus. Must be able to set priorities, exercise initiative, work simultaneously on numerous projects, and meet/negotiate deadlines (sometimes last minute deadlines). Demonstrated strong organizational skills. Attention to detail and strong follow-through skills. Ability to compose, proofread, and edit professional correspondence. Demonstrated verbal and written communication skills. Proficiency in the use of computer applications including Excel and Microsoft Word, Outlook and Powerpoint. Excellent attendance record.

Knowledge of issues related to human resources, financial, information technology, and facilities management in a large and diverse organization
