Responsibilities* The School of Public Health is looking for an administrative assistant to provide front desk support to the Office for Student Engagement and Practice (OSEP). The primary duties of this position include, but are not limited to:

Reception

Serve as primary front desk person, greeting visitors to the OSEP during traditional business hours. Answer the general OSEP telephone and email inquiries and direct to appropriate staff.

Staff Support

Make travel arrangements for Associate Dean, directors and office staff, process payments for related travel and reconcile Concur payments. Do purchase orders and other financial support. Order supplies, check inventory and maintain a tidy office area. Maintain office equipment and place work orders as needed. Organize individual and group meetings, prepare agendas, room reservations, minute-taking and preparing materials for meetings. Assist OSEP staff with administrative requests including processing and disseminating surveys, tracking survey responses and assist with analyzing data. Update documentation, policies and procedures of the front desk.

Special Projects

Assist in the preparation of correspondence and other communications. Serve as the point person for the OSEP quiet room, managing room reservations and ensuring proper maintenance of the space. Manage access to conference rooms. Work on a long-term document imaging project on an ongoing basis. Provide data entry support to career development job postings and other projects as needed.

Program Planning

Assist in program planning, development and implementation of major SPH and OSEP initiatives. Assist OSEP staff with planning, coordination, and hosting of SPH events including biennial school-wide symposium, graduation, and orientation, admitted student day, prospective student day, Practice Advisory Council quarterly meetings, and other community outreach meetings. Assist student life team in posting events on boards throughout the school.

Required Qualifications* * High school education or equivalent and 3+ years of relevant experience

* Exceptional customer service skills

* Excellent attendance record

* Excellent communication skills

* Considerable experience performing office duties, or an equivalent of relevant education and experience

* Must demonstrate excellent computer skills with proficiency in Google, Excel and Word

* Experience providing administrative support to multiple people.

* Must demonstrate ability to organize and coordinate a large and diverse workload with attention to detail and meet deadlines in a timely manner while demonstrating flexibility when priorities and deadlines change

* Must demonstrate ability to exercise initiative, independent judgment and confidentiality with a positive-service-oriented attitude

* Excellent organizational and interpersonal skills including the ability to work cooperatively with faculty, students, and staff in a diverse academic environment

* Must demonstrate ability to problem solve, work independently and as a member of a team with minimal supervision

Desired Qualifications* * Bachelor's Degree

* Experience working in an academic environment or student services

* Knowledge of University of Michigan policies and procedures

* Proficiency in M-Pathways, Concur, Marketplace, Procurement Procedure and Perceptive Content
