Summary:

1. To assist and support the Nurse Manager, nursing staff, technicians, transcriptionist, and physicians in the provision of patient care. The incumbent functions as a receptionist and in a clerical role for the majority of the time. Coding of procedures is another potential responsibility of this position after profiency of the basic job functions have been accomplished.

Responsibilities:

Functions As Department Receptionist.

1. Greets patients, visitors, physicians, vendors and others with a warm, positive attitude.

2. Identifies patient in accordance with the National Patient Safety Goals

3. Actively participates in patient handoff to the prep area by passing on pertinent patient information/concerns.

4. Keeps personal conversations and phone calls to a minimum

5. Maintains patient confidentiality through appropriate level of voice

6. Maintains neat and organized front desk.

7. Ensures front waiting area is free of clutter and maintained for patient safety.

8. Uses professional etiquette and answers telephones promptly.

9. Takes complete and accurate messages, relays information promptly

10. Keeps patients and families informed of delays or untimeliness of care.

11. Schedules patients appropriately and timely, seeking guidance from the Lead RN as needed.

12. Demonstrates effective communication skills to promote smooth patient flow through the department.

13. Informs Lead RN of patient cancellations and requests to add-on patients promptly

Maintains Competency In Computer System And Software Programs Utilized And Seeks Opportunities For Growth Development.

1. Maintains knowledge of patient scheduling programs.

2. Maintains knowledge of patient care computer programs.

3. Maintains knowledge of database program utilized to maintain department statistics.

4. Attends computer classes as needed or scheduled.

5. Acts as a resource person to other staff members including clinical staff regarding operations of the front desk.

6. Maintains adequate knowledge of medical terminology

Participates In Activities To Improve Performance In The Department And Enhance Customer Satisfaction.

1. Enters procedure statistics into Database program in an accurate and timely manner.

2. Enters procedure charges into the Star system in an accurate and timely manner or ensures completion by another staff member.

3. Reviews the database and charge entries the following business day to ensure accuracy

4. Attends staff meetings and department in-services regularly.

5. Actively participates in approaches to improve patient satisfaction and maintain patient confidentiality.

6. Participates on a department task team.

Performs Clerical Functions With Accuracy And Promptness.

1. Assembles all necessary paperwork for the patient's chart prior to taking them back to the Prep area.

2. Utilizes legible handwriting to eliminate errors.

3. Creates accurate patient consent forms on the computer with proper spelling, correct physician, procedure name and patient name.

4. Escorts patient's to the prep area and gives accurate information on how to get started in preparing for their test.

5. Enters patient orders accurately and timely.

6. Maintains a file system of future orders for Endoscopy patients that can easily be utilized by anyone looking for that information.

7. Notifies supply order technician of need for additional supplies.

8. Print daily schedules for Lead or Charge Nurses

9. Ensures new medication changes are fax to the primary care provider

10. Ensures all necessary chart parts are present prior to closing a medical record

11. Assists in assuring completeness of closed charts prior to sending to Health Information Services.

12. Ensures closed charts get to Health Information Services at the end of the day.

Other information:

Education:

1. Certificate Program in the field(s) of medical office assisting Preferred

Experience:

1. 1-3 years of experience in/with patients of all ages and prior medical office experience is Preferred.
