JOB SUMMARY:

The Office Services - Regional Associate is cross-trained at the various sites within the region to provide coverage and support where and when needed.Under the general supervision of the Site Manager, performs related duties in the daily operation of the Office Services Center, at all times striving to meet or exceed the requirements and expectations of the customer's employees in their requests. Consistently works in an enthusiastic, positive, motivated, professional, detail- and deadline-oriented manner, with an ongoing commitment to increasing customer satisfaction.

ESSENTIAL FUNCTIONS:

  • Performs related tasks requiring the use of various office equipment including copying, binding, faxing, mail, pantry checks, restocking supplies and switchboard.
  • Identifies and meets or exceeds the requirements of all requests for services.
  • Check conference room calendars daily and provides completed schedule to Site Manager.
  • Completes meeting/event set-ups according to scheduled meeting needs/requirements.
  • Performs final inspection/walk-through of rooms at designated time-frame prior to meeting/event for proper conformance to client needs and desires, performs necessary clean-up of rooms after meeting/event including
  • Checks, cleans, and supplies all OSC and convenience copiers and fax machines according to the daily schedule.Keeps equipment and work areas clean and orderly.
  • Assists in the sorting and delivery of mail, faxes, and completed projects.
  • Assists in interoffice and outside messenger duties including drop box runs, rush pick-ups, fax runs, scheduled messenger runs and special runs.
  • Maintains accurate tracking of jobs, pick-ups/deliveries and other documentation.
  • Monitors food and supplies and notes when re-orders are needed.
  • Evaluates and ensures the quality and accuracy of all materials and completed requests.

ADDITIONAL RESPONSIBILITIES:

  • Provides support for switchboard/receptionist duties as requested.
  • Assists in facilities/housekeeping/conferencing duties and office moves as contracted with the customer.
  • Assists in the move, storage, and retrieval of records and files as needed.
  • Provides some light facilities maintenance duties as needed such as cleaning marks on doors and walls, changing light bulbs, spot-cleaning carpets.
  • Identifies and reports any building maintenance issues to client or proper building authorities.
  • Performs other related duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Ability to travel from one location to another when needed.
  • Ability to be flexible to location and schedule changes.
  • Ability to work cooperatively and communicate effectively.
  • Work involves quality control and a strong attention to detail.
  • Ability to lift a minimum of 50 lbs. with or without reasonable accommodation.
  • Ability to adapt to changes in the work environment and frequent changes, delays, or unexpected events.
