JOB TITLE: Events Sales Manager

DEPARTMENT: Sales

REPORTS TO: Director of Sales

 

SCOPE OF RESPONSIBILITY:

  • Actively prospects for new opportunities for company event bookings through outside activities to include, telephone prospecting, cold calling and networking
  • Records activity and customer info in PipeDrive from contact to event booking
  • Communicates client expectations and accurate up to date information on booked groups and events to Event Coordinator
  • Ensures a high level of communication is maintained between all team members relating to sales
  • Demonstrates Autobahn’s Core Values
  • The ability to work a flexible schedule, including evenings and weekends, is required

TEAM MEMBER GUIDEBOOK: Prior to being assigned to the position, a complete understanding of the Team Member Guidebook is necessary since the person holding the position will be subjected to these rules and regulations.

 

ESSENTIAL TASKS:

Administration

  • Thoroughly documents all Activities and Deals in PipeDrive
  • Ensures that appropriate pieces of lost business are traced in PipeDrive for future solicitation
  • Review group and track rental sales from the previous day; resolve discrepancies with client ; tracks group and rental revenue against budget
  • Offers and sells catering options to clients if desired by client; assists in the selection of approved caterers and the catering menus offered to clients
  • Ensures that all deposits taken through PandaDocs are accurately recorded in Clubspeed the day they are taken
  • All events entered into ClubSpeed must be marked correctly as to the Status of Deposit Received, and the Status must be adjusted as needed
  • All tasks related to event must be completed from first contact to receipt of deposit before handoff to Event Coordinator is made
  • Maintains complete confidentiality of all sales records

Communication

  • Ensures that high levels of communication are maintained with Caterers, Event Coordinator, Event Captain, Race Operations, the front desk, and management
  • Keep up to date information on our online calendar regarding all tentative and definite groups and meetings as well as all area events and holidays that might affect levels of business
  • Creates a sense of excitement and fun surrounding the sales effort
  • Fosters teamwork and participation with all team members by showing enthusiasm and a positive and helpful attitude
  • Works with Event Coordinator to be sure that all events are staffed and accounted for by operations, and assists the coordinator on special requests
  • To ensure we don’t negatively impact our Arrive and Drive business, we limit the availability of Full Facility Rentals and Track Rentals on Mondays-Thursdays and Fridays until 6pm. Any rentals outside of this time frame MUST be approved by the General Manager prior to booking

Sales

  • Proactively works targeted prospect lists using the Autobahn Sales Process to generate new company event business and meet or exceed monthly sales goals
  • Maximizes group and meeting revenues by suggestive selling and upselling track rentals
  • Conducts tours of the tracks; entertains qualified potential clients in accordance with company and track policies and procedures
  • Ensure that all incoming calls are answered within 2 rings with proper greetings and telephone etiquette
  • Monitor response time to messages, ensuring that all messages are returned within 4 hours
  • Ensures that all e-mails and info requests are responded to within 4 hours
  • Generates and documents sales leads through grassroots marketing, networking events, and through provided target lists
  • Maintains a professional image at all times through appearance and dress
  • Any other reasonable task assigned by the Director of Sales or Leadership Team; non-revenue producing activities should be minimized and reported the Director of Sales

Miscellaneous

  • Work hours are to be primarily Monday-Friday daytime business hours (9-5/10-6/11-7); there may be times where you will need to work outside these hours to ‘meet and greet’ your clients at larger events or to attend networking/business meetings
  • Work hours can be performed at the facility, but it is not mandatory; you need to spend some time at the facility to be familiar with procedures and be available to GM and operations when they have questions about events
