Delos is looking for a highly motivated Office Manager/Receptionist for its headquarters in New York City. This role will serve as the "nerve center" for a dynamic and energized office, and will be tasked with ensuring the smooth operation of the space and all in it. This is the right role for a pro-active person who doesn't wait to be given a task. We're growing quickly, so every day is a growth story and a new set of challenges that goes along with it. At Delos, we're driven by the positive effects of the Built Environment, and as our Office Manager you'll be charged with the care and ownership of our very own Built Environment. In this role, you will serve as the first point-of-contact for the company both on the phone and in person and will provide administrative support to executive management and across the organization. You will also be responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency.If you are an experienced and ridiculously well organized receptionist, office manager, or administrative assistant and if you're looking for a new challenge with a high-energy, passionate company, this just might be your next role.

Responsibilities:

  • Answer all incoming telephone calls in a timely and courteous manner and effectively direct the caller to the appropriate person/department.
  • Greet visitors; answer visitor questions and direct them appropriately.
  • Take and distribute messages for various personnel.
  • Receive, sort and distribute incoming mail and deliveries; pick up mail from U.S. post office; assist with the preparation of outgoing mail; book couriers as needed.
  • Order, stock and maintain updated inventory of office supplies and equipment.
  • Schedule and coordinate meetings, including setting up and clearing rooms for meetings and arranging catering, refreshments, and travel/accommodation for visitors as required.
  • Monitor and coordinate the repair and maintenance of office equipment.
  • Maintain record-keeping and filing systems.
  • Maintain a tidy, presentable, and organized office, which includes the kitchen area, bathrooms, office lobby, copy area, conference room and executive offices.
  • Complete expense reports.
  • Manage and liaise with office vendors, maintenance staff, and other service providers as required.
  • Ensure office compliance with WELL Building Standard.
  • Maintain petty cash box and log.
  • Centrally manage office software inventory, email and network logins, building access codes, voicemail/phone setups, etc.
  • Partner with Human Resources as needed to implement and oversee adherence to office and company policies and procedures.

Candidate Profile & Prerequisites:

  • Proven office management and administrative experience.
  • Knowledge of office management systems and procedures.
  • Strong written and oral communications skills.
  • Exceptional attention to detail.
  • Proficient in Microsoft Office (Word, Excel and PowerPoint).
  • Must be customer-focused with a professional appearance and welcoming personality.
  • Strong organizational and planning skills.
  • Strong time management skills, with the proven ability to multi-task and operate successfully under tight deadlines in a fast paced environment.
  • IT skills.
  • Basic knowledge of Open Voice, GoToMeetings, Concur, FedEx, Corporate DropBox and Google Apps for Business.
