The John Chamberlain Estate seeks a dedicated and proficient Executive Assistant to support the Director in a dynamic and creative environment. This role is pivotal in facilitating the efficient management of the director's commitments and enhancing the operational success of the estate. Ideal candidates should possess strong organizational skills, a high degree of discretion, and a passion for the arts. Key Responsibilities: Manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements. Serve as the first point of contact for the Director, handling correspondence and phone calls with discretion. Prepare and edit correspondence, communications, presentations, and other documents. File and retrieve documents and reference materials. Conduct research, assemble and analyze data to prepare reports and documents. Manage and maintain office supplies and equipment; coordinate office maintenance and repair work. Organize and coordinate meetings, conferences, and special events. Record, transcribe, and distribute minutes of meetings. Monitor, respond to, and distribute incoming communications. Interact with internal staff at all levels; interact with external clients and vendors. Ensure confidentiality of all sensitive information. Qualifications: Bachelor's degree or equivalent professional experience. Proven experience as an executive assistant or in other secretarial positions. Full comprehension of office management systems and procedures. Excellent knowledge of MS Office, and familiarity with office management software (ERP etc.). Exemplary planning and time management skills. Ability to multitask and prioritize daily workload. High level verbal and written communications skills. Discretion with personal and confidential matters. Proficient computer skills. Knowledge of or interest in contemporary art and cultural management is preferred.
