Key Responsibilities
- Maintain office supplies inventory by checking stock levels, anticipating needed supplies, placing orders, and verifying receipt of supplies.
- Answer incoming phone calls and direct calls to the appropriate individuals.
- Greet and assist visitors, ensuring they sign in and out of the office premises.
- Sort and distribute incoming mail and prepare outgoing mail, including courier packages.
- Schedule and coordinate meetings, conference calls, and appointments.
- Prepare documents, spreadsheets, and presentations as requested.
- Assist with basic bookkeeping tasks, such as data entry and invoice processing.
- Perform general clerical duties, including photocopying, scanning, and filing documents.
- Assist in organizing company events or team-building activities.
Skills, Knowledge and Expertise
- High school diploma or equivalent.
- Proven experience in an office assistant or similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills.
- Exceptional organizational and time management abilities.
