The Organization:

The Society of Dermatology Physician Assistants (SDPA) is a 501(c)(6) non-profit professional organization composed of members who provide dermatologic care or have an interest in the medical specialty of dermatology. A mission-focused membership organization, SDPA works to empower, educate, and advance the DermPA™ practice by providing high-quality educational and professional development opportunities, while advocating for a practice environment that advances patient care. Its Fellow members are PAs who provide medical services with the collaboration of a board-certified dermatologist. Founded in 1994, the SDPA currently has over 4,700 members and is the largest specialty organization in the American Academy of Physician Assistants (AAPA).

SDPA employs a professional staff committed to advancing the Dermatology PA profession through innovative educational offerings, outstanding conferences, and collaboration efforts with passionate members. The SDPA headquarters office is in Alexandria, Virginia, but remote work is an option.

The Opportunity:

SDPA is seeking a self-motivated individual to be our Executive Assistant, reporting directly to the CEO & Executive Director. The Executive Assistant is responsible for providing full-scope executive-level support to the CEO & Executive Director of SDPA. This position handles a high volume of assignments with varying complexity and balances competing priorities. The Executive Assistant collaborates with staff, elected officers, and members and may serve as a primary point of contact for internal and external constituencies on all matters pertaining to the CEO & Executive Director.

The ideal candidate can exercise good judgment in a variety of situations; possesses exemplary written & verbal communications and organizational skills; and seeks to exceed expectations and go the extra mile to achieve results. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. We are seeking someone energized by a fast-moving environment, interested in trying new things, and driven to continuously improve.

Primary Duties & Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty and responsibility. Other duties may be assigned to meet business needs. 

PRIMARY RESPONSIBILITIES:

Executive Office Management

  • Successfully develops deliverables that support the CEO/ED’s work, including compiling information, drafting correspondence, presentation, reports, memos, and meeting materials.
  • Works with SDPA internal teams to create processes and procedures to ensure high-level efficiency and productivity that support organizational initiatives.
  • Conducts research and analysis on issues of interest to the CEO & Executive Director and follows up on issues and concerns addressed to the CEO/ED, including those of a confidential nature.
  • Manages scheduling and travel logistics for the CEO & Executive Director and coordinates travel for the SDPA Board of Directors.
  • Assists in providing sophisticated schedule management, including preparing detailed itineraries; calendar management; collating documents and agendas for meetings, events, and special projects; and completing monthly expense reporting.
  • Carries out other related responsibilities as assigned.

Governance

  • Supports the CEO & Executive Director with board governance and compliance.
  • Provides administrative support to the SDPA Board of Directors including preparing meeting materials and meeting follow-up.
    • Prepares board materials and handles meeting follow-up.
    • Takes meeting minutes at SDPA Board meeting and assigned committees.
    • Coordinates board travel.
    • Reviews board expense reports.
  • Serves as staff liaison for the Dermatology Physician Assistants Foundation (DPAF) and other assigned committees, with responsibility for scheduling meetings, preparing materials, taking minutes, and assisting with projects.

QUALIFICATIONS:

  • Experience: 3+ years related work experience
  • Familiarity with the non-profit associations specializing in health care
  • Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work
  • Excellent communication skills, both verbal and written
  • Excellent organizational skills, commitment to accuracy and attention to detail
  • Good judgment and ability to function independently
  • Good working knowledge of all Microsoft Office applications
  • Ability to handle sensitive and confidential situations with diplomacy
  • Highly experienced in electronic communications
  • Ability to work virtually from home office.
