Cabinet Peaks Medical Center is looking for an Office Assistant to join our Rehabilitation Department! The Rehab Assistant is responsible for performing a variety of duties in support of the Rehabilitative Department.  This position is responsible for providing clerical, secretarial, and receptionist support for the Rehabilitative Department.  The Rehab Assistant answers phone calls, files, faxes, copies, schedules patient appointments, registers new patients, prepares charts, enters billing charges, and performs other duties as assigned.  This position obtains insurance pre-authorizations and follow up as required by each payer on all insured patients.  The Rehab Assistant works with the manager to maintain an efficient work flow within and between the 2 clinics and hospital.  This position functions as a resource for all disciplines and patients and may be stationed at the front desk to greet customers.  The Rehab Assistant is responsible for performing tasks related to patient care in accordance with the law for physical/occupational/speech therapy as requested. This position prepares patients, equipment, and environment for effective, efficient and safe patient care.  The Rehab Assistant participates in operational aspects of the department, maintains performance improvement activities within the department and participates in continuous quality improvement activities and participates in all departmental training and safety programs as required. 


Major Job Duties & Responsibilities

Responsible for providing patient care related tasks as directed by therapists (PT/OT/ST) to increase efficiency of the rehab department.

Prepares and cleans treatment area for patient use at all times.  Performs final cleaning at close of department, in preparation for first morning patient.

Operates equipment safely and correctly.  Maintains department cleanliness and safety and keeps up with equipment maintenance according departmental policies and procedures.

Manages medical records.  Maintains the patient charts in EMR, transcribes physician orders accurately and efficiently, organizes evaluation and discharge paperwork and obtains necessary medical information from referring physicians prior to the initial visit. 

Schedules patients and appointments and ensures efficient schedule for all therapists in the department.  Patient's appointments are confirmed daily.  New patients are prioritized appropriately.

Maintains calendars and coordinates with other hospital services to make arrangements for in-services and meetings.

Completes all necessary tasks for billing and reimbursement.  Accurately and efficiently enters data into specified databases and checks own work for accuracy.  Pre-authorizes patient visits per departmental policy. Maintains a tracking system to ensure timeliness of reports and adherence to payer regulations.  Confirms monthly invoices.

Functions as a departmental resource and is the message center for the facility.  Directs questions or concerns to the right staff member. Communicates any changes in schedule to the appropriate personnel.

Takes directions from others well with good ability to prioritize requests. Views position as being for the benefit and the assistance of the department as a whole.

Demonstrates an ability to be flexible, organized, and function under stressful situations in a positive and professional manner.

Exhibits good work habits and efficient use of own and other’s time to be productive. 

Meets deadlines and is on time for scheduled appointments and meetings.

Demonstrates great customer services skills, including excellent phone etiquette. Interacts professionally with patient/family and treats patients/family with respect and dignity.  

Maintains a good working relationship both within the department and with other departments. 

Responsible for ordering supplies and maintain inventory logs for the department.

Consults others as appropriate to collaborate in improving patient care and performance.         


Skills, Knowledge & Abilities

Must have clerical skills and knowledge of use and operation of standard office equipment.

Knowledge of medical records, scheduling, and patient billing.

Must possess effective communication and writing skills.

Excellent organizational and multitasking skills with the ability to function well under pressure.

Must possess valid DL; may be required to travel to other hospital buildings, satellite clinic, or out of town to attend meetings. 

Must possess computer skills in order to use e-mail, Word, Excel, Power Point, internet, electronic medical records, etc.

Must be able to function and excel in a team environment and relate positively and favorably to staff, patients, visitors, families, and physicians.

Ability to provide patient care related tasks as directed by therapists (PT/OT/ST) to increase efficiency of the rehab department.Ability to clean and maintain therapy equipment.


Education Requirements

High school graduate or equivalent.

BLS certification preferred, must obtain within 3 months of hire.


Experience

Patient care experience in a hospital, rehabilitative services department/facility, or nursing home is preferred, but not required.


Schedule

Eight (8) to ten (10) hour shifts.
