Summary/Objective
This position will be responsible for the timely execution of all ordering related activities including the demand analysis, supplier capacity review, actual order issuance, shipping document preparation, booking coordination, invoice payment etc. The planner needs to track and report the production and shipment progress on weekly basis. The planner's accurate and timely responses are crucial to the smooth transactions of the order implementation. This position also requests the pricing update with integrity. In addition, the planner will elevate the potential risks or issues to the sourcing leader for the proper solution.


Essential Functions

Responsible for effectively supporting and implementing global shipments smoothly. Plan, coordinate and execute the orders for sourcing department. Work as a major liaison to support the marketing team to retreat the forecasts from key customer's website and generate actual PO's after the confirmation with the manufacturing facilities. Coordinate the forwarder for the seamless shipments to customer's warehouse without any delay. Administer all price updates in ERP system with 100% accuracy. Support sourcing leadership team to coordinate special projects as needed.


Daily Tasks

Key Customer Order Planning & Issuance Coordination.

  • Review customer's order forecast from Depot Link and coordinate with production team to confirm shipment planning.
  • Generate official orders after completing containerization
  • Prepare proper documentations for the designated forwarder.
  • Track production progress and report any potential issue to sourcing leader.

External Sourcing Order Coordination:

  • Coordinate with demand team to plan and issue orders to overseas external suppliers on monthly basis. This include various products including wood baluster, iron balusters, stair parts accessories, hardware program, etc.
  • Track order production and shipment progress continuously.
  • Report to sourcing leadership about any risks or issues and coordinate with relative parties for solutions.

Hardware & Lumber Order & inventory Coordination:

  • Work and communicate with lumber suppliers on order status update.
  • Work with forwarder and carrier on Bookings & track for lumber shipments.
  • To achieve lumber certificates such as PHYTO, AES for shipment.
  • Preparing lumber shipping & invoice documents for proper customs clearance.
  • Track production facilities' lumber usage and update inventory and shipment report based on instructions.

Pricing & Invoice Management:

  • Monitor all prices update requests. Follow proper procedure for price approval & ERP update.
  • Coordinate order payment invoices with the accounting department, if there is discrepancy on invoice, research and dispute it.

ERP system Update & reports:

  • Update container Status Report based on production schedule, new POs, confirmed delivery appointments, etc.
  • Update Container Reports.
  • Update container shipment reports, warehouse unloading booking report on weekly basis.
Requirements:
  • Excellent communications skills.
  • Computer proficiency including but not limited to Microsoft Office Suite.
  • High level organizational skills and great attention to detail.
  • Initiate and execute continuous process improvement.
