About The Role - Who You Will Work With ...

SourceAmerica is searching for an Executive Assistant to join its team, focused on providing direct administrative and executive support to the COO. This position helps connect our network of over 575 Non-Profit agencies with federal procurement opportunities across the United States! Our network of Non-Profit Agencies (NPAs) perform service and product contracts mainly for Federal agencies and help employ over 33,000+ people with disabilities nationally.

The ideal candidate will be based near SourceAmerica's National Office in Vienna, VA (greater-Washington, DC metro area).

What You Will Do ...

As an Executive Assistant, your work functions will include but are not limited to the following. A full position description will be given to candidates at the time of the interview.

  • Serves in many respects as the first point of contact for the COO's office with courtesy and professionalism.
  • Takes action to respond to and as appropriate, engage others within the organization, to address issues or concerns when the COO is not immediately available.
  • Coordinates communication and activities amongst the Executive / Leadership team to facilitate a matrix-managed organization.
  • Completes special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; and monitoring results.
  • Provides administrative support by managing and executing activities to relieve the Executive of routine tasks, i.e., expense reports, schedule management, approval requests, note/minute taking, travel arrangements, etc., within delegated authority.
  • Provide backup administrative support to other executives as needed.

Salary Range

The salary for this position falls in a range between $55,000 - $75,000 depending on your experience and geographic location in the United States.

What We Are Looking For ...

  • Associate degree in a relevant field of study from an accredited institution instead of applicable skills training. SourceAmerica recognizes 1.5 years of experience = 1 year of college, should the candidate not meet the educational requirement.
  • Proven experience as an executive assistant or similar role, supporting C-level executives.
  • Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and deadlines.

Preferred Qualifications

  • Working knowledge of coordination requirements for the successful preparation and approval of reports, briefings, memoranda, and presentations.
  • Understanding of technology and its capabilities as it relates to business process improvements.
  • We use Microsoft Dynamics 365 (D365) as our primary business application system for much of our office processes- experience with D365 or SharePoint, CRM Platform using similar methods is preferred.

Work Environment

Our organization offers both a hybrid work model-where employees work in our office two to three days per week and work from home the balance of the workweek-as well as a fully remote work model, depending on the job requirements. The ideal candidate will be based near SourceAmerica's National Office in Vienna, VA (greater-Washington, DC metro area).
