Collegiate School seeks two part-time Receptionists to serve as the first person that potential families, parents, and other visitors hear when they call the School. We are seeking two shifts - one morning shift from 7:30 a.m. - 12:30 p.m. and one afternoon shift from 12:30 p.m.- 4:45 p.m. The Receptionist serves as Collegiate’s first point of contact with all constituents; vendors, visitors, prospective and current families. In this role, the Receptionist manages daily phone answering tasks while being available to administratively assist the Admission Office personnel in completing administrative and clerical tasks within the daily operation of the offices. Duties include responding to the School’s main phone line to answer questions and/or transfer calls to employees or departments in an efficient and timely manner. The Receptionist will coordinate with another shift receptionist, ensuring coverage is provided daily by coordinating schedules between the hours of 7:30 a.m. and 4:45 p.m. each weekday. The Receptionist is accessible, approachable, welcoming, able to manage confidential situations with discretion, tact and respect. The ideal candidate has a strong commitment to customer service as well as a professional & welcoming personality and speaking voice. This is a part-time, non-benefited position.

General Responsibilities include:

  • Greets guests/ prospective families to the School & Admission Office
  • Provides administrative support to Admission Office personnel
  • Assists in gathering admission materials for admission events
  • Acts as an ambassador to the School
  • Answers multi-line phone system and routes calls to appropriate person/departments
  • Greets all visitors by welcoming and directing them appropriately
  • Qualifies visitors using the School’s RAPTOR system
  • Orders, receives and maintains office supplies for the Admission Office and provides timely and appropriate documentation to the Business Office
  • Assists in processing, scanning, and copying files as necessary
  • Maintains reception area and keeps orderly at all times
  • Provides a calm demeanor in an ever-changing environment
  • Other miscellaneous office/admin/clerical duties as assigned

Successful candidates will possess the following qualifications and competencies:

  • High School Diploma
  • Excellent communication, interpersonal & organization skills; positive and friendly team player
  • Professional experience answering a multi-line phone & directing calls
  • Technical competency in Microsoft Office and other technologies
  • Highly-proficient in managing Google Suite of calendars, documents & sheets
  • Database management experience preferred; ability to coordinate visit schedules from central calendar
  • Ability to lift items weighing up to 40lbs. & occasionally organize inventory
