Job summary

The Administrative Assistant II will provide critical support to the Vice President of National Accounts, who travels 50-60% of time. Additionally, they will be responsible for providing operational assistance to the National Accounts department.

You will

  • Travel coordination
    • Arrange travel (airfare/lodging/transportation) including preparation of detailed itineraries.
    • Coordinate travel and accommodations for visitors/guests.
  • Expense and account reconciliation
    • Prepare and submit expense reports.
    • Prepare and route check requests.
    • Review/reconcile monthly financials and corporate credit card.
  • Schedule management assistance
    • Assist VP with calendar prioritization and scheduling (virtual and in-person)
    • Arrange events such as dinners, golf outings and team events
  • General administrative and clerical tasks
    • Preparation and dissemination of division communications, reviewing and editing correspondence, reports, and presentations.
    • Coordinate and prepare materials for division meetings (internal and external). Includes, monthly division meetings, department staff/team meetings, and external marketing meetings (i.e. trade shows, client functions).
    • Prepare department reporting. Includes supporting documentation for annual report, national advertising board, executive key metrics/measurement, board meeting materials, and client specific requests.
    • Monitor and maintain department systems and resources.
    • Answer, screen, and route calls appropriately.
    • Maintain and update divisional organizational charts.
    • Prepare reports, memos, letters, and transcribe notes.
    • Monitor inventory and order office and meeting supplies.
    • Receive deliveries; sort and distribute incoming mail.
    • Prepare and coordinate documents for signatures as needed.
  • Special projects and other duties as assigned

You have

  • 2 years of previous administrative experience.
  • Strong interpersonal skills; ability to work collaboratively and build cross-functional relationships with key members across the organization.
  • Friendly and professional demeanor.
  • Sound judgement and decision-making abilities.
  • Advanced organization skills and attention to detail.
  • Highest level of integrity to manage confidential information.
  • Proven ability to thrive in a fast-paced environment, with high tolerance for ambiguity and complexity.
  • Advanced proficiency in Microsoft Office products and other relevant software.
  • Excellent verbal and written communication skills.
  • Willingness to learn and acquire new skills.
  • Ability to work independently.
  • High School Diploma or GED.

Working Conditions

  • Fast-paced, high-pressure office environment.
  • Standard working hours, based on a 40 hour work week.
  • Additional working hours required as needed to complete testing assignments and projects on schedule.
  • Minimal travel as required for business needs.
