Scope:

The Events Manager is responsible for the development and supervision of distinctive and memorable activities and events including marketing, production, and execution. The Events Manager will work closely with the Food & Beverage staff, Culinary team, and Events Committee to deliver a wide range of events to engage the diverse membership throughout the year. Finding and booking venues for offsite events, liaising with members, vendors and suppliers, handling logistics, managing budgets and invoicing, organizing accreditation, managing risk and presenting post event reports. Develop a varied list of artist, museum, musician, restaurant, wedding vendor, off-site venue contacts and maintain excellent working relationships.

Primary Responsibilities:

  • Frequently communicates with membership and staff, both verbal and written, who have inquiries about the events and must be able to exchange accurate information in these situations.
  • Will play a critical role in promoting Club events and executing member and private events from initial meetings and planning through execution.
  • Will lead weekly BEO meetings, schedule meetings with members and the Events Committee to develop, create, and promote exceptional club banquets, specialty dinners, and member special events to exceed our members’ expectations.
  • Works with F&B and Culinary to support and execute their “House” Events & Club banquets.
  • Develop wide range events for Las Campanas University that provide entertainment, intellectual engagement, and social opportunities to enrich member life.
  • Keep open communication between all departments including Spa/Fitness, Golf, Equestrian, Log Cabin, and organize their respective calendar of Events with F&B.
  • Meet quarterly and prepare power point updates with Directors and Events Committee to ensure focus, consistency, and support.
  • Works with Chef to update banquet menu pricing.
  • Maintain Digital Assets on Place for Clubhouse lobby digital signage.
  • Maintain member website calendar weekly with mini promotional details and photos.
  • Weekly eblast marketing update with photos and details for Las Campanas University Events and attending off-site as needed.
  • Negotiate contracts, payments, and manage all check requests for entertainment and offsite events.
  • Booking all private rooms and managing member requests within calendar availability daily.
  • Support Food & Beverage as Manager on Duty for special events as needed.
  • This position requires to work more than 40 hours per week.
Note: Other duties as assigned by supervisor or management.

Qualifications:

Education/Experience:

  • At least three years of experience in hospitality with an emphasis in catering and event planning.
  • Prior Club experience is not necessary though highly desired.
  • A degree in Food & Beverage/Hospitality or Business is preferred.
  • Bachelor’s Degree (Minimum Requirement)
  • Requires permit from State of New Mexico approved Alcohol Server Education class

Skills:

  • Must be a multi-tasker and team player!
  • Ability to listen to member requests; Assess and manage those requests with the ability to graciously handle those that we can and cannot fulfill
  • A keen eye for marketing and attention to detail are critical in keeping with Club aesthetic
  • A positive and outgoing personality is a must
  • Must be able to work without supervision and be a problem solver with the ability to stay calm amidst increased demand times
  • Ideal candidate will have worked in and understand private clubs, resorts, or event planning
  • A stable work history with demonstrated progressive responsibilities.
  • Must have a clear understanding of event planning with examples of prior direct experience with staffing, productivity, and costs while forecasting and planning accordingly.
  • Should be familiar with club POS software and be able to prepare detailed and accurate Banquet Event Orders (BEO).
  • Self-starter with a good sense of humor with the ability to work with an experienced and talented team.
  • Must have a solid understanding of food and beverages, wine knowledge, and exemplary customer service skills.
  • Requires a sincere desire to learn and grow professionally within the hospitality industry.

Working Conditions:

  • Ability to bend, stoop, lift, and carry items up to 50 lbs.
  • Ability to move about the Club and be able to remain in stationary position 50% of the time.
  • Must be able to work a variety of shifts including mornings, afternoons, nights, weekends, and holidays.
