Senior Virtual Conference Manager - Conference and Event Management Office

The Conference and Event Management Office at St. Jude Children’s Research Hospital provides support for scientific and academic conferences, enhances interactions among scientists and works to establish St. Jude Children’s Research Hospital as a conference destination. We are looking for a Senior Virtual Conference Manager to join the team.

The Senior Virtual Conference Manager develops all virtual aspects associated with an in-person, hybrid, or virtual conference or event. Developing a virtual strategy, the virtual conference manager identifies and utilizes the best virtual platform and creates a compelling and innovative virtual experience. Builds, implements, and manages all virtual components and ensures compliance with the schedule. Develops and maintains strong relationships with stakeholders and collaborates cross-functionally to ensure alignment of strategies and goals. Proactively researches latest trends and identifies new ways to enhance the overall virtual experience.

The ideal candidate has demonstrated success in utilizing applications for virtual events and online registrations. Experience in conference/event planning and management (onsite, hybrid, and/or virtual), database management, planning and management of scientific conferences, email marketing, event tracking, and event success measurement preferred.

Minimum Education and/or Training:

  • Bachelor’s degree with 4+ years of relevant experience.
  • Experience creating and developing mid-scale events.
  • Some experience working closely with stakeholders and senior leadership for managing and coordinating events.
  • Experience providing guidance and mentorship within program management team.
  • Experience coordinating with and managing vendors is preferred.
  • Experience with CVENT preferred.

Job responsibilities

  • Creates compelling and innovative virtual experiences for events based on intent through an individualized virtual strategy.
  • Collaborates with the host to establish goals, budget, schedule, key performance indicators, provide feedback, risk management analysis and planning, hosts kick-off, regular and debrief meetings.
  • Responsible for all virtual/computational/technical conference needs and virtual conference buildout including strategy, creative concept, selection and utilization of platforms, building websites, online registrations, abstract submission portal and management, breakout rooms, poster sessions, pre-recorded and live lectures, conference marketing, online agendas, data collection, metrics and analytics.
  • Coordinates with hybrid and in person conference managers.
  • Develops and maintains a schedule for tracking deadlines and deliverables.
  • Collaborates with stakeholders to develop a comprehensive plan for communications and marketing, visual identity development, and online presence.
  • Manages a master calendar tracking all current and upcoming conferences and monitors to avoid timing conflict.
  • Ensures the provision of additional services such as the coordination of event day needs, virtual platform technical assistance, and other departments as needed.
  • Develops feedback mechanism to provide metrics and analytics assessing learnings of each event, determine success factors, and implement improvements for future conferences and processes.
  • Assists in the development of policies, processes, and procedures and ensures compliance.
  • Manages and maintains several related intranet pages.
  • Coordinates any compliance requirements.
  • Maintains the institutional conference planning guide.
  • Provides department training on platform use and administration.
  • Provides comprehensive training to host departments for individualized conference needs.
  • Stays abreast of current trends in the conference planning industry and provides recommendations.
  • Responsible for compliance with department budget.
  • Performs other duties as assigned.
  • Maintains regular and predictable attendance.

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $78,000 - $139,360 per year for the role of Senior Virtual Conference Manager.
