Purpose:

Keep and maintain all financial records and scan important documents. May be called upon to perform other office duties, such as answering phones, relaying messages, sorting mail, and keeping inventory of office supplies.


General Description:

  • File invoices, bills and other paper documents in cabinets in file room.
  • Sort and deliver daily mail.
  • General clerical duties as assigned.
  • Other duties and responsibilities as assigned.
  • Creating and adding material to hardcopy files as needed for record-keeping.
  • Retrieving files on request and delivering them to appropriate persons or departments.
  • Updating the database of digital records.
  • Performing routine checks to ensure the integrity of the file system.
  • Moving outdated files to inactive storage or destroying them after obtaining the necessary approval.
  • Preparing files for tax purposes.
  • Answering the phone when needed and making direct calls.
Requirements:
  • Solid understanding of accounting practices and procedures.
  • The ability to act responsibly and ethically when working with sensitive financial information, whether it’s information for the company or for individuals.
  • Solid communication skills, with proficiency in speaking and writing.
  • Computer literacy, as accounting clerks are responsible for keying information into various computers and software programs.
  • Strong people skills – a polite and professional demeanor when working with other companies, as well as consumers and coworkers.
  • The willingness and ability to comply with local, state, and federal financial regulations, as well as the regulations established by the company itself.
