Working/Functional Title
Facilities Coordinator
Position Summary- Communicate with the occupants and university units to resolve problems, update procedures, and coordinate maintenance and improvements.
- Assist with space planning and management; manage moves occupancy planning and move management in coordination with building occupants and relevant units; manage non-academic scheduling of facilities, and resolves issues related to the scheduling and use of facilities.
- Manage key inventory and changes to locks. Maintains scheduling system for long-term and daily use and key tracking system.
- Assist in planning and administering the annual building operating budget.
- Assist in developing and implementing policies and procedures to support the building operations.
- Forecast short- and long-term building needs; coordinate and serve as the primary point of contact for the replacement and maintenance of shared and fixed building equipment, cleaning, and building services, such as electrical, plumbing and air handling, with appropriate University units, vendors, and contractors; order and maintain shared building supplies, equipment, and maintenance contracts.
- Maintain health, safety, and security standards to ensure compliance with University, State, and Federal rules and regulations, in coordination with relevant University units; coordinates building access, safety and emergency planning.
- Maintain instrument and capital asset inventory.
- Perform additional duties as assigned.
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Facilities Management, Business Management, or Science; three to five years of related and progressively more responsible or expansive work experience in facilities and building operations management, including building management systems; experience with financial management including budgeting and accounting; the job may require experience in managing scientific laboratories and buildings or a facility related to the area of employment; or an equivalent combination of education and experience.
Desired QualificationsPossess and demonstrate good communication skills; ability to establish and maintain effective working relationship with people at all levels in the institution; ability to be versatile and to quickly resolve problems of various degrees, nature and levels of control; self-starter with excellent organizational and interpersonal skills, including sound judgment; a team player. Ability to handle multiple priorities with exceptional attention to detail and follow-up skills; ability to work in a fast-paced environment. Proficient in Microsoft Office Suite, including Access, Word, Excel, Outlook and Publisher; Adobe Acrobat; Google Calendar and Google Docs.
