Job Summary:

Updating, tracking, verifying and supporting the university’s space inventory management system for internal and external data reporting accuracy.

Essential Duties and Responsibilities:
  • Support Design and Construction:
    • Spot check as built construction/dimensions on campus. (Both before design and after construction);.
    • Work with design team on backgrounds for potential renovations to ensure measurements are correct from CASIM.
    • Process approved space requests.
    • Update space request logs and file copies in jobs folder, e-builder and distribute to Construction Coordinators.
    • Evaluate move plan data and identify information that impacts CASIM and space inventory.
    • Substantial completion (SCF) processing; Obtain, organize, and file before and after photos of projects for future use.
    • Generally, assist with space access as needed.
  • Data Maintenance:
    • Maintain detailed facilities space inventory using CASIM (Computer Aided Space Inventory Management) database system.
    • Input data for new buildings and modify existing data for renovations.
    • Modify data due to reclassification of room types.
    • Update space inventory database based on department re-locations.
    • Review, correct, and process incoming survey data.
    • Maintain departmental hierarchy.
    • Periodically contacting the President’s and the Provost’s office to keep track of the changing departmental hierarchy in order to accurately identify departmental space occupants.
  • Project Coordinator:
    • Coordinate annual survey participation from every department across campus (180+).
    • Develop online reference and training materials for both THECB space inventory coding and CASIM website navigation.
  • Performs other duties as assigned.

  • Bachelor’s Degree with three (3)+ years of direct job-related experience.
Preferred Qualifications:
  • Five (5)+ years of direct job-related experience.
  • Five (5)+ years employment in higher education environment.
Knowledge, Skills and Abilities:
  • Knowledge of Texas Higher Education Coordinating Board space inventory codes.
  • Working knowledge of database systems.
  • Excellent organizational skills.
  • Ability to identify, analyze, and solve problems.
  • Detail oriented, self-motivated.
  • Quick learner with an ability to assume responsibility.
  • Excellent communication (verbal and written) skills.
  • Ability to work well with people in all levels of the organization.
  • Ability to gather information from construction coordinators, the AutoCAD manager, and departmental space respondents for each construction/renovation update.
  • Assume responsibility as the subject matter expert on the Texas Higher Education Coordinating Board’s (THECB) space inventory codes and knowing how to accurately apply all code types to each space.
  • Ability to verify coding accuracy by site-verifying multiple room locations across campus, notifying the Registrar’s Office of any space inventory updates that impact instructional space.
  • Ability to develop productive and reliable relationships with departmental survey respondents (130+) in order to track changes that occur outside of the scope of Facilities Management renovations and outside of the annual space inventory survey.
  • Ability to annually verify that previous year’s survey respondents are still available to complete the upcoming space inventory survey; finding respondent replacements for those who are no longer available.
  • Ability with using audio/video software to create web-based tutorials for survey respondent training purposes and reviewing all incoming data from survey respondents.
  • Ability to recognize erroneous THECB coding provided by survey respondents and then correcting that data.
  • Ability to further educating the respondent on THECB coding to reduce similar errors in the future, ensuring 100% accuracy of space classification across campus.
Other Requirements :
  • Responsible for use of University issued keys, access card, and University vehicles. Must be able to drive a university vehicle.
Working Conditions:
  • Some exposure to outside elements when verifying space across campus.
