Seasonal Receptionist Job Description

Position Dates:

Position Type: Part Time Hourly Position

Compensation: Hourly rate $17.40/hr.

Reports to: Director of Human Resources

Hours: 7:00am - 10:00am OR 3:00pm - 6:00pm, Monday through Friday.

Purpose of Position:

The Boys and Girls Club of Flagstaff needs a responsible, flexible receptionist to support our daily operations so that we can provide a safe, nurturing environment for kids to learn and grow.

In this role you will: support the Director of Operations, the CEO, and other Directors in an administrative role for the Boys & Girls Club of Flagstaff. You will provide general administrative support; membership database management; answer phones and emails; billing; and other duties as assigned.

Essential Job Responsibilities:

MEMBERSHIP MANAGEMENT

Help BGCF to collect and manage data so that we can commit to Continuous Quality Improvement.

  • Under the direction of the Director of Operations, you will manage data in the organizations’ Member Tracking System by: ensuring accuracy of demographic and financial data; accurately updating attendance on a regular basis; sending out bills to families in a timely fashion.
  • Communicate with current families and interested community members regarding Club policies, hours, fees, registration process, and more.
  • Record daily attendance and attendance for field trips/special events.
  • Collect documents related to Tuition Assistance and communicate with Office Manager so documents can be processed.
  • Answer the front desk phone promptly and professionally.
  • Answer emails and compose correspondences on behalf of the organization.
  • Assist Youth and Teen Development Professionals as needed to ensure safety and quality of programs.
  • Schedule meetings for Directors as needed.
  • Provide general office support to ensure functionality of organization, including but not limited to: printing, scanning, filing, archiving, organizing, cleaning, and more.
  • Greeting and assisting visitors.
  • Assisting in the maintenance and repair of buildings, equipment, and other facilities and ensuring that all Club facilities and activities maintain safety standards and practices that meet all local, state, federal, organizational, and BGCA regulations.
  • Design and distribute fliers to advertise events and services, utilizing approaches/platforms such as Peachjar, social media (if applicable), door to door flyer drop-offs, and more.
  • Communicate events and programs to parents using Remind and other strategies.

ADMINISTRATIVE SUPPORT & OFFICE MANAGEMENT

Support the success and daily function of the organization.

MARKETING & OUTREACH

Assist BGCF in expanding our community impact and increasing awareness of our services.

Required Qualifications:

· At least (1) ONE year of administrative experience; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

· Candidates must be able to pass a drug test, criminal and driving records investigations, and reference checks.

· Must be at least 18 years of age and have valid identification.

· Ability to withstand stress and handle multiple, concurrent tasks and constant interruptions.

· Technical and computer literacy skills to perform membership management and advertising tasks.

· Ability to interact/communicate at the executive level.

· Ability to read and interpret documents, perform highly detailed work and mathematical functions.

· Ability to effectively manage multiple tasks and ability to develop, implement and manage multiple work projects.

· Ability to relate to individuals and groups in a manner that will inspire respect and confidence.

· A commitment to continuous learning.

· Knowledge of standard office policies and procedures.

Desired Qualifications:

  • CPR and First Aid Certifications.
  • Previous experience working with groups of youth of all ages.

Work Environment:

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, and extreme cold. The noise level in the work environment is usually moderate to high.
