Job Summary: Accounts Payable Clerk

The Accounts Payable Clerk plays a crucial role in maintaining the financial integrity of Ross Downing by ensuring accurate and timely processing of invoices and payments. This position requires a keen eye for detail, strong organizational skills, and the ability to work effectively in a fast-paced environment.

Duties/Responsibilities:
  1. Invoice Processing:
  • Review and verify invoices for accuracy, completeness, and appropriate authorization.
  • Code invoices with proper general ledger account codes.
  • Enter invoices into the accounting system with accuracy and efficiency.
  1. Payment Processing:
  • Prepare and process payment runs in accordance with payment terms and company policies.
  • Reconcile vendor statements to ensure all invoices are accounted for and paid on time.
  • Address and resolve payment discrepancies with vendors.
  1. Vendor Management:
  • Communicate effectively with vendors to obtain necessary documentation and resolve invoice discrepancies.
  • Maintain accurate vendor records, including contact information and payment terms.
  • Establish and maintain positive relationships with vendors.
  1. Month-End Close:
  • Assist in month-end closing processes related to accounts payable.
  • Provide support for financial audits and internal audits as needed.
  • Reconcile and verify expense report receipts and documentation.
  1. Recordkeeping:
  • Maintain organized and accurate electronic and physical records of all accounts payable transactions.
  • Assist in the development and maintenance of accounts payable procedures.
Preferred Skills/Abilities:
  • Effective communication skills to collaborate with various departments.
  • Proficient in Microsoft Office Suite, especially Excel.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team.
  • Knowledge of automotive dealership accounting practices (preferred but not required).
Education and Experience:
  • High school diploma or equivalent.
  • Accounting or finance education is a plus.
