Job Summary and Qualifications:

The Operations Assistant is a new and vital role that will contribute to the success of our team! They play a crucial role in managing day-to-day administrative tasks to ensure that operations run smoothly. The ideal person will be responsible for providing support to our Director of Operations and assist with day-to-day operations across multiple sites. Outstanding customer-service and communication skills are a MUST HAVE, as this role is interacting with a variety of representatives of our clients, vendors, and internal teams.

Responsibilities
  • Supporting the Director of Operations by assisting with daily administrative operational duties to ensure streamlined communication and smooth day-to-day functions across all sites
  • Assisting with the implementation of new policies and procedures to improve operational needs
  • Maintaining records of all site inventory and employee timekeeping, while supporting the Director of Operations in conducting labor/inventory audits including proper follow-up with staff when discrepancies are detected
  • Generating daily/weekly reports on operational accounts, and other data metrics as requested
  • Assisting with internal claims processing, and ensuring both accurate tracking and timely payments
  • Respond to inquiries and complaints in a timely and professional manner
  • Ordering supplies needed for sites to maintain operational duties
  • Assist with management of client relationships by coordinating meetings, and consistent communication
  • Works collaboratively across organization to address concerns & issues related to operational success
  • Assists in executing organization requirements for site set-up, to include but not limited to, state and local business licensing/certification, researching/establishing relationships with client points of contact
  • Provide support for special projects and other duties as assigned
Position Requirements
  • Strong organizational skills and attention to detail

  • Must have a high level of professionalism and outstanding customer-service skills
  • Understanding of timekeeping and scheduling processes & procedures
  • Ability to work independently and as part of a team
  • Fluent in Microsoft Office Suite of products
  • Strong knowledge of CRM systems and tools that enable field and support teams to be successful (Salesforce)
  • Tech savvy and able to quickly adopt new software as needed
  • Strong problem-solving and analytical skills
  • Ability to multi-task and handle multiple projects simultaneously with tight deadlines
  • Ability to work in a fast-paced environment and adapt to change quickly.
  • Utilizes thoughtful problem-solving, communication, and collaboration tactics
Minimum Qualifications:
  • Eligible to work for any U.S. employer
  • Bachelor's degree in business administration, operations management, or a related field
  • 1-2 years of experience as an operations or administrative assistant in a client-facing role
  • Skilled at communicating with high levels of leadership both internally and externally
  • Ability to generate and interpret data while identifying trends
  • Strong time management skills and ability to prioritize tasks effectively
Compensation
  • $18.00/hour base rate
  • $19.00/hour - Day 30 (potential increase after successful review)
  • $20.00/hour - Day 60 (potential increase after successful review)
