A DAY IN THE LIFE OF A PARTS COORDINATOR

Inventory Management

  • Achieve departmental volume, net profit targets and margin goals.
  • Manage an inventory control system that meets the dealership's internal, warranty, and retail
    customers' needs for parts and accessories.
  • Maintain inventory quantities, pricing and stockroom locations keeping obsolescence to a minimum but
    ensure service work can be completed timely and efficiently.
  • Prepares orders by monitoring and maintaining minimum inventory levels and anticipating seasonal and
    other high-demand supply needs.
  • Control special order and ensure all items are invoiced to reduce lost capital.
  • Proactively notify service of any likely delay due to parts availability.
  • Works with Service Manager to develop and ensure consistent business ordering and receiving process. Offer suggestions as product needs change.
  • Unload and process shipments timely.
  • Ensures that all incoming parts are accurately added to inventory and orders are complete and all items
    accounted for.
  • Pull and assemble parts kits per work order for technicians before service work is to be performed in order to maximize department efficiency.

Parts Coordinator

  • Maintains the integrity of the parts inventory by conducting regular cycle counts and full annual inventory count, addressing deficiencies with Service Manager and working with Marine Division Accounting to make accounting adjustments.
  • Establish and maintain warranty, scrap and return parts handling procedures, including location, documentation, etc.
  • Maintain a neat and orderly parts department.
  • Audit work orders to identify missing or inaccurate pricing.
  • Maintain functional knowledge of Service Writer role in order to assist within the department.
  • Utilize processes and tools such as Dockmaster, Speedy Dock, etc. as outlined in company SOP's

Personnel Administration

  • Team building and promotion of interdepartmental relationships.
  • Work directly with Service Writers and Yard Operations Manager to coordinate all boat and trailer movement and parts needs.
  • Attend instructional courses as needed.

Sales & Customer Relations

  • Greet parts and accessories retail customers in a prompt and courteous manner, eager to fulfill needs
    with a professional appearance and image
  • Maintains relationships with manufacturers and parts suppliers
  • Explore ways to better serve customers (Internal & External)
  • Develop ways to communicate in a "personalized environment" and obtain feedback to monitor their
    satisfaction
  • Attend boat show and other special events as needed
  • Superior execution of high product quality, attentive, responsive and professional service staff in a
    warm, fun atmosphere
  • Maintain confidentiality of information where appropriate
QUALIFICATIONS FOR A PARTS COORDINATOR
  • Parts associate and management experience in high volume, full-service concept -3 years (Preferred)
  • A high school diploma or equivalent
  • Professional appearance and positive attitude to all customers
  • Prior marine industry management of parts and/or service department experience preferred
  • Ability to communicate at a high level, both verbally and in writing
  • Organizational and computer skills are required for the position
  • Be team-oriented, self-motivated, and process driven
  • Customer service or sales-related background preferable
  • Have a valid state driver's license
  • Ability to safely operate job related equipment
  • Mechanical and technical skills
  • Possess the needed hand tools
  • Valid driver's license
  • Good health and physical mobility
  • Ability to lift 50 lbs using proper safety procedures
  • Ability to pass a pre-employment background check and drug screen

WORK SCHEDULE FOR A PARTS COORDINATOR

This full-time repair and maintenance position typically works 8-hour shifts, Monday-Friday for 40-50 hours per week, including weekends, days, and holidays. Overtime is available.
