Description

FUNCTION: The Office Administrator supports the business unit's leadership team and performs various administrative duties and special projects independently and efficiently. This position also organizes employee activities and events and works in conjunction with administrative staff in other business units to provide support and ensure consistency.

PRINCIPAL RESPONSIBILITIES AND DUTIES:

  • Performs administrative duties for business unit leaders to support their day-to-day activities by preparing and editing correspondence and other documents. Assists with presentation creation, setup, and delivery. Ensures presentation materials are available and delivery vehicle (i.e., Teams) is working and ready in advance of onsite presentations.
  • Assists with special projects as required.
  • Coordinates all business unit employee and client events.
  • Greets clients, prospects, visitors, and employees while maintaining a friendly, professional company image. Ensures lobby, front desk, and other areas at Cass are clean and maintained.
  • Coordinates catering needs prior to event for client and internal business meetings including set-up (ensures coffee, soda, etc. is available to clients and other visitors), and clean-up.
  • Coordinates building maintenance and repair including vendor management, manages related insurance claims, and other facility-related matters.
  • Manages inventory and orders office supplies for the business unit, makes sure the most cost-effective choice is selected.
  • Manages building access process for all employees and visitors.
  • Maintains and stocks the kitchenettes.
  • Manages reimbursement check tracking and processing for Cass clients.
  • Manages and maintain client and employee tickets for sporting and special events.
  • Ensures employee level compliance with key Company standards of safety, facility maintenance, postings and notifications, and other administrative duties as identified or directed.
  • Reviews office and service-related accounts payables, submits reviewed payables to business unit leadership for approval and forwards to corporate payables for processing.
  • Maintains the company intranet page with administrative information specific to the business unit and works with other business units to ensure administrative consistency.
  • May maintain the electronic files of client and vendor contracts, which includes scanning/imaging customer contracts, confidentiality agreements, and other documents, files contracts once scanned.
  • May assist with data maintenance, procedure manuals, account assignments, client specific reports, and internal data analyses.
  • Other duties as needed or assigned.

SKILLS AND ABILITIES REQUIRED:

  • Ability to assist and communicate in a professional manner with internal and external contacts at all levels, exhibiting flexibility in prioritizing and organizing workload.
  • Takes action in solving problems while exhibiting judgment and realistic understanding of issues.
  • Microsoft Office suite experience required with intermediate level knowledge of Outlook, PowerPoint, and Word.
  • Ability to manage numerous tasks, projects or events occurring simultaneously while maintaining order and communication.

MINIMUM LEVEL OF PREPARATION AND TRAINING NORMALLY REQUIRED:

  • High school diploma or equivalent combination of education and experience required.
  • 1-3 years office management, administrative, or similar experience preferred.
