  • At all times, maintain a positive and welcoming demeanor.
  • Oversee day-to-day office operations including answer incoming calls, take messages or direct calls to staff, pick up and distribute mail, and interact with public visitors.
  • Book keeping and QuickBooks experience a must
  • Perform office open and/or closing duties as assigned. Open duties include turning off alarms, turning on lights, making coffee or otherwise preparing for morning meetings. Closing duties include cleaning kitchen sink, coffee pot, making sure printers and other electric equipment is turned off, including lights, and setting door alarm.
  • Schedule weekly janitorial contractor, conduct daily cleaning (vacuum, sanitize surfaces including bathroom and door handles, take out public trash at end of day).
  • Maintain public kitchen supplies (silverware, plates, paper products, coffee supplies, water delivery and dispenser, coffee maker, microwave). Clean when necessary.
  • Organize and maintain record keeping and archival process for general office documentation (including vendor files, business and professional licensing files, records keeping binders, reference books, etc).
  • Conduct weekly inventory audits of office supplies, prepare PO for restocking supplies, research options for cost savings related to supplies or excessive use of certain supplies.
  • Support HR as needed in onboarding new employees, including preparing documents and binders for employee onboarding, setting up conference room for onboarding and training, and ensuring equipment inventory is adequate for all staff on a day-to-day basis and for onboarding new staff.
  • Provide administrative, secretarial, or executive support for all Business Operations department managers including Fleet Ops, Financial Ops, Safety, Marketing, IT and HR, as needed in general or for special projects.
