Job Description
Facial Pain Specialists is looking for an enthusiastic, patient forward Medical Receptionist to join our growing team. The purpose of this position is to provide office support in our Encinitas location. They will be responsible for making patients feel welcomed and supported, and will be a key member in helping the daily operations run smoothly. This role has the potential for growth, as it will also play a critical role in our treatment quality control and patient communication.
The ideal candidate is a team player who is able to work professionally with both patients and staff, and takes a compassionate approach to healthcare.
ESSENTIAL FUNCTIONS
Responsible for opening and closing the office, including tidying the front area, closing and reconciling daily financials, and checking the next day’s schedule for quality control.
Oversees daily schedule. Prints out schedules, checks remarks and communicates with providers.
Greets patients, checks patients in and out, handles follow-up scheduling.
Handles incoming communications: phone, email, chat.
Understands treatment cost and collects co-pays, self-pay patient's payment, any treatment fees.
Performs quality control on patient charts, making sure patient records are accurate and include insurance, referral, and authorization information necessary for treatment.
Responsible for final QC check for Botox patients. Splint order data entry, quality control, and PT communication. OAD treatment process & quality control.
Understands medical coding, authorization, and billing procedures. Communicates with billing and authorizations with any questions.
Sends medical records to medical offices and insurance companies.
Communicates effectively with other staff members.
Communicates with patients and discusses issues with the appropriate staff member.
Ensures the consistent organization and maintenance of facility records.
Creates and maintains a collaborative office structure and culture. Works cooperatively with all staff members to achieve office goals.
Participates in staff meetings, planning meetings, and other staff functions as needed.
Performs other such duties as required and/or assigned by Regional Office Manager.
QUALIFICATIONS
3+ years experience working in a medical office setting
Strong communication, analytical, and listening skills, with a positive approach
Ability to multi-task, prioritize, and manage time effectively
Ability to communicate effectively with all segments of the business and community
Well-developed leadership and management skills
Ability to effectively resolve complex and difficult situations before they escalate
Ability to develop collaborative working relationships with all staff and patients
Knowledge of computer programs similar to Athena and Klara, spreadsheet, email, and other document programs.
