About this job

A client of ours in the life science industry is looking for a senior level administrative assistant. Applicants must have 3 years of experience supporting an executive assistant or administrative staff from a bio tech or pharmaceutical company. The ideal candidate will have experience booking international/domestic travel.


Job Description

  • Using company-approved travel vendors, arrange domestic and international travel for team members, including flights, trains, ground transport, hotels, etc. Prepare relevant documentation and itinerary packages to traveling staff in a timely manner prior to their departure. Coordinate real-time travel issues as they arise.
  • Prepare, submit and track expense reports for the team, as necessary.
  • Maintain calendars of designated team members as required.
  • Conference registrations & membership renewals for professional organizations.
  • Full coordination of small and large meetings and events, both on and off-site, in collaboration with Administrative Assistant Partners from other client locations, both domestically and internationally, as appropriate.
  • Assist with general paperwork (photocopying, scanning, binding, etc.) and maintain general administrative needs of each department.
  • Assist in preparation, execution and filing of contract utilizing internal software.

  • Member of Administrative Assistant Partner Team, sharing responsibilities and cross-training with other Assistant Partners as needed.

Qualifications

  • Bachelors Degree.
  • Minimum of 3 years full-service administrative experience required.
  • Previous administrative experience in Research & Development environment, particularly in the biotech or pharmaceutical industry preferred but not required.
  • Knowledge in utilizing teleconference equipment and using related software.
  • Proficiency in Microsoft Office (Work, Outlook, Excel, and PowerPoint.
  • Demonstrated experience managing multiple and complex travel arrangements while planning all aspects of complex meetings, on and off-site.
  • Works well in a team oriented structure to achieve goals.
