Summary:

1. Performs a variety of office support functions necessary to ensure the efficient, accurate and courteous operation of the medical practice front office. Performs other duties as required or assigned.

Responsibilities:

Accurately functions in the overall operational aspects of the front office including but not limited to the greeting of patients and visitors, handling patient check-in and check-out processes, answering of phones and relaying of information and scheduling appointments 1. Greets patients, visitors and representatives in a friendly, professional manner 2. Maintains the sign-in log according to office protocol 3. Pulls patient charts and places them in the patient queue system according to office policy 4. Keeps patients, visitors and vender representatives informed of delays or timelines 5. Keeps personal conversation to a minimum 6. Talks in such a manner as to maintain patient confidentiality 7. Verifies patient demographic information at each visit. Notes changes as identified 8. Schedules patient appointments as required per office protocol 9. Informs provider(s) or clinical staff when there is a patient flow problem 10. Verifies all encounter information is complete prior to patient leaving 11. Asks for co-pay or payment in full for services at time of check out 12. Determines the appropriate handling/management of each incoming phone call 13. Takes complete and accurate messages, relays information promptly 14. Prioritizes messages and acts on those that present emergent needs 15. Refers all questions of a medical nature to professional clinical staff Participates in the training and/or supervision of other front office staff as designated or appropriate. Works with Manager/Administrator to improve operational efficiencies. Performs a variety of clerical support functions to assure smooth flow of the clerical area as well as other departments in the medical practice 1. Acts as resource person to other staff, both clerical and clinical about the front office operations 2. Oversees and assists with training new employees in the area 3. Assists with training employees on new processes or protocols 4. Works with the manager/administrator to develop policies and protocols 5. Offers work solutions to problems or areas of concern as they arise 6. May oversee the daily operations of the front office staff 7. Maintains computer and other skills at acceptable levels 8. Assists the other clerical staff as necessary without waiting to be asked. 9. Maintains a proper filing system and files in a timely manner. Keeps filing to a 3 day maximum. 10. Assembles and labels charts in proper manner. Updates old charts as needed. 11. Assists with faxing and copying as designated. 12. Works to minimize lost charts within the practice. 13. Pulls charts on an as needed basis and delivers to appropriate area or provider. 14. Maintains a clean workspace 15. Attends area or office meetings as required Performs all data entry functions. Maintains competency on office information systems 1. Updates and makes necessary changes in patient demographic information in a timely manner 2. Reviews patients account for balance due, pending charges and payments at time of service 3. Assists other staff with computer literacy and data entry functions 4. Posts charges and diagnosis on a daily basis, preferably as the patient is checking out 5. Post payments to the proper account and line item in a timely fashion; generates a receipt 6. Schedules appointments with ease. Acts as resource to other staff in appointment scheduling 7. Performs look up functions on STAR system, Medical Manager or other pertinent systems at the request of other staff or providers Remains abreast of relevant billing practices as they relate to the provider and overall functioning of the medical practice 1. Attends billing and coding meetings as assigned. 2. Reads pertinent billing updates and shares information with other staff 3. Follows up with provider(s) on the use of codes (CPT and ICD-9) or with questions generated by codes 4. Works with manager/administrator on coding practices for the office 5. Assists patients with general billing questions or concerns 6. Acts as a liaison between the office and CBO for problems and questions 7. Assists with the collection process as requested by manager/administrator 8. Acts as an office resource for coding questions and/or concerns 9. Notifies supervisor or other staff when uncertain about how to handle a question or problem

Other information:

Education: 1. High School Diploma is preferred. Experience: 1. 1-3 years of experience in/with computer and phone skills in a medical office required. 2. 1-3 years of experience in/with medical office medical records, medical terminology and CPT and ICD-9 Coding preferred.
