Responsibilities: Supervises office support staff providing daily leadership, education, orientation, mentoring, and operational problem solving to staff. Independently identifies and exercises judgment in initiating improvements in workflow and other work unit matters. Regulates staffing and adjusts workload as needed. Works closely with department/division leadership and other supervisors to assure smooth functioning of work unit. May provide supervision for an assistant supervisor or a lead.

Performs a variety of secretarial tasks in support of physicians and other allied healthcare providers. These tasks may include maintaining care provider calendars; scheduling meetings; preparing presentation materials; creating and distributing professional memos and letters; taking minutes; answering telephones and providing related follow up; coordinating patient appointments; maintaining the electronic medical record; filing; preparing reports; making travel arrangements; processing reimbursement for travel and other professional expenses; maintaining records for continuing medical education; and transcribing medical correspondence as well as research and administrative documents. Strong organizational and communication skills, a commitment to quality and excellence in service, initiative, proficiency, and good judgment in optimizing the use of physicians' and other allied healthcare providers' time are important components of the role.

Qualifications: Successful completion of a vocational or associates degree/diploma in a medical secretary, medical administrative assistant, administrative assistant, medical transcription, business related or medical related program or a minimum of two years' of relevant experience in an office support role such as a medical secretary, administrative assistant or medical transcription performing secretarial duties or successful completion of the Mayo-Sponsored Medical Secretary/Transcriptionist Training Program (MSTP). Individuals without relevant medical education or medical experience will be required to successfully complete a Medical Terminology course within six months of employment. Anatomy/Physiology may also be required depending on role and background. Past performance should demonstrate strong leadership skills, including human relation and organizational skills, and the ability to communicate effectively with others.

Additional Qualifications: Must show consistency and confidentiality in dealing with human resource issues and maintain effective relationships with secretarial staff, supervisory colleagues, and department/division leadership. Must possess a broad knowledge of office support and computer systems with knowledge of spreadsheets, databases, and secretarial software. Must be able to efficiently handle a wide variety of tasks simultaneously. Must be able to adapt to a rapidly changing environment. Requires proficiency in the use of technical office equipment (computer, printers, dictation equipment, phone system, fax machine, etc.). Medical secretary and/or transcriptionist work experience, experience with secretarial/clerical software, and basic math skills, preferred.

License or Certification: None required.

Compensation Detail: Education, experience and tenure may be considered along with internal equity when job offers are extended. The minimum pay rate is $xx.xx per hour.
