About this job

The primary purpose of this position is to: Answer the phone in a courteous and professional manner and provide excellent customer service to internal and external customers.

  1. Arrive at front desk a minimum of 10 minutes prior to start time to start up computer and phone system.


  1. Answer telephone, screen and direct calls.


  1. Provide information to callers and relay messages.


  1. Take and relay messages


  1. Greet guests with a smile and make them feel welcome


  1. Direct guests to correct destination.


  1. Interact with public, clients and vendors.


  1. Maintain knowledge of staff movements in and out of firm.


  1. General administrative and clerical support to Human Resources Department


  1. Receive and distribute mail and deliveries to mailroom, except for HR Dept. (FedEx, UPS, etc….)


  1. Maintain certified mail and incoming package log.


  1. Maintain visitors log and badges.


  1. Schedule conference rooms electronically.


  1. Updating and scheduling interviews for hiring managers.


  1. Maintain the reception area.


  1. Activate and deactivate parking/Access badges.


  1. Prepare Any Status Change forms for parking.


  1. Responsible for ordering parking validations in a timely manner.


  1. Maintain parking validation log.


  1. Issue parking validations to appropriate clients.


  1. Responsible for updating (PRCL) daily with new hires, cancellations, and changes from parking to reimbursement and vice versa.


  1. Assist with creating new hire packets.


  1. Process temporary employee new hire paperwork.


  1. Update and audit parking and parking reimbursement list.


  1. Organize and assist with company events.


  1. Order food for office events


  1. Create and maintain monthly schedule for relief receptionists


  1. Maintain electronic employee records.


  1. All other duties as assigned.


  1. Assist other departments on an as needed basis


  1. While performing the duties of this job, the employee is frequently required to sit and talk and hear.


  1. The employee is occasionally required to walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.


  1. The employee must occasionally lift and/or move up to 10 pounds. Specific vision ability to adjust focus.
