The primary purpose of this position is to: Answer the phone in a courteous and professional manner and provide excellent customer service to internal and external customers.
- Arrive at front desk a minimum of 10 minutes prior to start time to start up computer and phone system.
- Answer telephone, screen and direct calls.
- Provide information to callers and relay messages.
- Take and relay messages
- Greet guests with a smile and make them feel welcome
- Direct guests to correct destination.
- Interact with public, clients and vendors.
- Maintain knowledge of staff movements in and out of firm.
- General administrative and clerical support to Human Resources Department
- Receive and distribute mail and deliveries to mailroom, except for HR Dept. (FedEx, UPS, etc….)
- Maintain certified mail and incoming package log.
- Maintain visitors log and badges.
- Schedule conference rooms electronically.
- Updating and scheduling interviews for hiring managers.
- Maintain the reception area.
- Activate and deactivate parking/Access badges.
- Prepare Any Status Change forms for parking.
- Responsible for ordering parking validations in a timely manner.
- Maintain parking validation log.
- Issue parking validations to appropriate clients.
- Responsible for updating (PRCL) daily with new hires, cancellations, and changes from parking to reimbursement and vice versa.
- Assist with creating new hire packets.
- Process temporary employee new hire paperwork.
- Update and audit parking and parking reimbursement list.
- Organize and assist with company events.
- Order food for office events
- Create and maintain monthly schedule for relief receptionists
- Maintain electronic employee records.
- All other duties as assigned.
- Assist other departments on an as needed basis
- While performing the duties of this job, the employee is frequently required to sit and talk and hear.
- The employee is occasionally required to walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.
- The employee must occasionally lift and/or move up to 10 pounds. Specific vision ability to adjust focus.
